Avocado Export Preparation: 7 Essential Handover Checks

Watermelon Exporter in Kenya

Avocado export preparation depends on clear handovers from specification to receiving. These seven checks help teams keep the order and its evidence aligned.

1. Confirm the buyer brief

Record the destination, variety, quantity, pack and proposed receiving window. Ask the buyer to identify the person who approves the technical specification. Keep open questions visible so the team does not mistake an incomplete enquiry for a confirmed order.

2. Identify the offered lot

Connect the proposed allocation to the supplier's lot records. Ask which quantity can be confirmed and what conditions remain outstanding. A sample or an availability discussion should not be presented as proof that the whole order is ready.

3. Check the pack instruction

Use the current approved pack and label specification. Compare the carton information with the packing list format the receiver expects. If the format changes, obtain approval and communicate it to everyone using the instruction.

4. Record the technical decision

Keep the inspection or review record that supports release. Identify the lot, date, reviewer and relevant specification. A simple approved stamp is difficult to interpret if the underlying criteria cannot be retrieved.

5. Confirm the document responsibilities

Agree which party supplies each required document and when it must be available. Ask the importer and appointed specialists to confirm current destination requirements. Do not use an old shipment's paperwork as an automatic checklist for a different destination or product.

6. Share the handover information

Give the logistics and receiving contacts the agreed references and handling instructions. Distinguish confirmed dates from estimates. Record who will communicate any change so the buyer is not relying on an outdated schedule.

7. Retain the arrival record

Capture lot identity, packaging condition and inspection observations at receipt. Compare concerns with the specification and dispatch evidence before deciding the next action. Keep the feedback linked to the relevant shipment so it informs the next order.

Why the handover matters

Each team may do its own job well while still losing information between stages. A short checklist with named owners makes those gaps easier to see. The aim is a traceable sequence of decisions, not an unsupported promise that every shipment will arrive without a problem.
